Janitorial ServicesMost janitorial bids look identical on paper. The same task list, the same frequencies, prices within a few hundred dollars of each other. The difference shows up around month seven, when one crew is still doing the baseboards and the other quietly stopped.
What follows is how our programs are structured, so you can hold this page up against whatever else you are being quoted.
Anyone can staff a building. Keeping a standard in it for three years is a different problem, and it is a supervision problem.
Supervisors walk our accounts on a schedule and inspect against the same scope document you hold. Findings get scored, and a score that slips is a conversation with the crew before it becomes a conversation with you. We debrief crews after cleans and correct method on the spot, which is cheaper for everyone than re cleaning a building.
Staffing is assigned, not pooled. Your building has a crew, that crew has a lead, and when someone calls out we cover with a person who has already worked your site. Coverage gaps are where standards fall apart, and they fall apart quietly.
You also get a direct line to the people running your account. Nobody at Rocket routes a facilities manager into a queue.
Floor Care
Floors are the largest capital surface in most buildings and the first thing a visitor reads.
Floors are also where deferred maintenance gets expensive. A VCT floor that goes too long between recoats wears through the finish into the tile, and tile is not something you touch up.
The majority of soil in any building arrives on shoes through the front door. Entry matting, sized and maintained properly, does more for a floor than any machine that comes after it.
VCT and resilient tile
Scrub and recoat on a set rotation, full strip and refinish when the finish is worn rather than dull. Burnishing between cycles to hold gloss in the lanes that get walked.
Concrete
Machine scrubbing on open floor, with sealing and densifying handled as scheduled projects.
Tile and grout
Grout lines collect soil that mopping only pushes along them. They need periodic deep extraction.
Carpet
Vacuuming on the recurring scope, spot treatment as it comes up, hot water extraction scheduled by traffic zone so you are not paying to extract a storage corridor.
Entryways and walk off matting
Maintained on the recurring scope, because a saturated mat stops working and starts redistributing.
Edges, corners and under furniture
Machines do the open floor. The perimeter is hand work, and skipping it is how a floor develops a dark border nobody can explain.
Floor work sits on its own calendar inside your contract, with dates set in advance so a strip and refinish lands over a holiday weekend and not during your busiest week.
Restroom paper, soap, liners and hand sanitizer can run on your account or ours. If we carry it, we match your existing dispensers so nothing has to be swapped out, and stock levels get checked on every visit.
Chemicals and equipment are ours. That includes the cost of replacing a pad or a filter, which is worth reading for in any bid you are comparing, since it is a common place for a low number to hide.
Changing janitorial vendors is routine, and the handover is where it usually goes wrong.
We walk the building before the handover and document the condition we are inheriting, which protects both of us. Buildings that have been under cleaned for a while usually need a reset: a deep clean to bring the facility to standard before the recurring scope starts. We will tell you if yours needs one, and what it costs, before you sign anything. Starting a normal rotation on a neglected building makes the new vendor look bad for two months and fixes nothing.
Key handover, alarm codes and access get settled in the same week, and we can run parallel with your outgoing vendor for the first few nights if your contract requires notice.
Four things separate quotes that otherwise look the same.
We answer all four in the proposal. Ask whoever else is bidding to do the same.

Questions
The ones facilities managers raise before they change vendors.
In practice the terms overlap, and plenty of buyers use them interchangeably. We use janitorial for the ongoing contracted program: assigned staff, a written scope, supervision and floor care on a calendar. Commercial cleaning is the broader category covering every building type we serve.
Supervisors walk accounts on a schedule and inspect against your scope document. Findings are recorded and scored. Sending unsupervised staff into a building and hoping is how most contracts decline.
Coverage comes from someone who has worked your building before. Your site does not get a stranger with no context, and it does not get skipped.
Yes, and it is common. We document the building's condition at handover, flag whether it needs a reset clean first, and can run parallel with your outgoing vendor if your agreement requires notice.
It depends on traffic and how well the floor is maintained between cycles. A well maintained floor on a scrub and recoat rotation with regular burnishing can go a long time between full strips. A floor that only ever gets mopped needs stripping far more often, and wears out sooner. We set the schedule after seeing the floor.
Recurring programs are the bulk of what we do, but we handle one time work: post construction cleanups, move outs, reset cleans and scheduled floor projects for buildings whose regular cleaning is handled in house.
We look at the floors, the traffic patterns and the problem areas you already know about, then put a written scope and a flat monthly price in front of you.
